Program Manager, US Operations – Eastern Time Zone Required (Pittsburgh, PA preferred)
Candidates must reside in the Eastern Time Zone, with the preferred location within 1 hour of Pittsburgh, PA to support the US Country Head/COO Americas & APAC.
This role will support the US Country Head, COO, by acting as an organizer, problem-solver, and ensure US Country Head/COO’s priorities are met. Will work to support the planning, execution, and management of various commercial and operations contracts, projects and initiatives, such as data management and entry, report and presentation development, department KPI tracking, meeting planning, attendance tracking and taking accurate and comprehensive meeting notes for formal minutes, including follow up activities. Will work cross-functionally in a collaborative and collegiate manner to ensure successful completion of projects and enhance efficiency on programmatic functions.
Key Tasks and Responsibilities (not all inclusive):
- Create and manage presentations and documents to be used by project owners to help reduce project delivery timelines.
- Confirm all documents or presentation material are accurate and compliant with policies, regulations and overall company brand.
- Works collaboratively to ensure all contracts are completed within policy and guidelines.
- Creates Project Charters, maintains solid documentation of plan and project needs.
- Develop, maintain, and update project timelines and schedules while ensuring fluid communication with all stakeholders.
- Identify potential risks to the project timeline or scope and support risk mitigation strategies.
- Manage schedule, calendars and administrative tasks.
- Assist with leading strategic planning processes.
- Develop and execute best practice processes that will streamline current workflows and create transparencies across the organization.
- Develop SOPs as needed.
- Assist with managing program or project costs to maintain budgets for each.
- Ensure that project activities are completed in a timely manner and projects are executed as planned.
- Skills: Proactiveness; project leadership and ownership, adaptability, detail oriented, highly organized, able to interact with all levels of personnel and communication styles, stress tolerance; collaborative.
- Minimum 3 years of work experience directly managing multiple and simultaneous projects and workflows; with a preference in the pharmaceutical industry.
- Software: Advanced Office 365 skills; emphasis on professional PowerPoint deck development; High level knowledge of Salesforce, other CRMs may be considered.
- Able to think through a problem and provide a timely solution approach, both independently and in a group setting.
