To support our Admin team as well as our Research& Development (R&D) leadership team, we offer the following full-time position located in our headquarter in Berlin, Germany:
Office Manager/ Executive Assistant R&D Leadership*
Main Tasks & Responsibilities:
- Provide administrative and organizational support to the R&D Leadership Team
- Coordinate meetings, workshops, and travel arrangements for R&D leadership team
- General travel planning (flight, hotel, train incl. necessary internal approvals) and prepare travel expenses
- Assist in preparing presentations, reports, and documentation for internal and external stakeholders
- Prepare travel documents (such as ESTA, Visa etc.)
- Conference registrations (considering Early Bird rates and liaising with US office)
- Correct electronic filing of travel documents and invoices
- Ensuring smooth day-to-day running of the office and reception
- General correspondence ( emails, fax, post, courier)
- Purchasing (stationery, technical equipment, general)
- Small scale accounting (checking and payment of invoices)
- Contract administration
- Preparation and follow-up of meetings worldwide
- Partner with HR to update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Provide general support to visitors
Skills:
- Ability to speak English and German fluently
- IT-literacy, good command of Microsoft applications (Outlook, Excel, Word, Access, Powerpoint)
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills in German and English
- Strong organizational and planning skills
- Open-minded, motivated, willingness to learn and develop
- Intercultural empathy
Experience:
- Professional Training as an Office Manager, Front Office Manager, or Administrative Assistant
- Relevant experience of working as an office manager/assistant, preferably in the pharmaceutical industry
